SBC Video Sharing and Usage Guidance

Purpose - To support the development of players, coaches, referees, and officials, all clubs participating are required to record and share videos of their games. These videos are made available to:

  • The opposing team, and
  • Basketball Scotland, which may in turn share access with referees and relevant technical staff for review and education.

This document sets out how game videos must be stored, shared, and used.


1. Ownership and Access

  • Videos remain the property of the club that recorded them.
  • Once shared with Basketball Scotland, the videos become part of a controlled video library managed by Basketball Scotland
  • Access will be limited to:
    • Registered club representatives and coaches
    • Registered referees and referee developers
    • Basketball Scotland technical and safeguarding staff

Access lists will be reviewed regularly to ensure only authorised users retain permission.

2. Permitted Use

Videos are provided only for the following purposes:

  • Performance review and analysis by participating teams.
  • Referee development, mentoring, and assessment.
  • Coaching education or officiating workshops run by Basketball Scotland.

Videos must not be:

  • Shared outside the authorised access group.
  • Posted on social media, websites, or public platforms.
  • Used for commercial gain or promotional purposes without written permission from Basketball Scotland.

Any breach of this policy may result in disciplinary action.

3. Safeguarding Considerations

  • Videos often include footage of young people and vulnerable adults. All users have a duty to protect their privacy and wellbeing.
  • No editing, screenshotting, or sharing of images of individual players is permitted.
  • Any safeguarding concerns arising from video content must be reported immediately to the Basketball Scotland Safeguarding Officer safeguarding@basketball.scot
  • Users must ensure they view and store footage in secure, private settings and not share devices with unauthorised persons.

4. Data Protection (GDPR)

Under the UK GDPR and Data Protection Act 2018:

  • Clubs must:
    • Inform players and team staff that games are recorded and shared for official league and development purposes.
  • Basketball Scotland acts as a data controller for all video files uploaded to the central platform and will:
    • Store videos securely via Google Drive with access control.
    • Retain videos for a limited period (one season) before review or deletion.
    • Respond to any data subject access or deletion requests in line with GDPR requirements.

5. Responsibilities of Referees and Officials

  • Use video content solely for self-assessment, training, or official review.
  • Do not download or re-share files without permission.
  • Do not comment publicly on game footage.
  • Report any access or safeguarding issues to the governing body.
